Data Collection for Dorothy Hodgkin Postgraduate Awards


We collect a whole range of data for the DHPA scheme. This page summarises the different types of data which are collected, who inputs the data, when the data is collected, and what it is used for. Hopefully this will help you to provide all the different types of data that are required.

Scholar Information Sheets

Information collected: the student's personal, current contact, education and PhD details, including project abstract.

Who inputs the data?: The DHPA contact at the University (the information may be obtained from the student's supervisor or from the student)

When does the data need to be input?: As soon as the student accepts the offer of a DHPA

What is the data used for?: The primary purpose of scholar information sheets is to provide information to the private partner sponsor about the student as soon as a student is found. This allows the private partner to contact the student as soon as they have won a DHPA, and discuss collaborations, placements and other interactions. Although there is some overlap with Student/Research Details on Je-S, the difference with the scholar information sheets is that the information is provided much earlier on, so that sponsors who wish to learn about the students they are sponsoring as soon as the student is recruited can do so.

A blank scholar information sheet can be found here DOC, 134KB. Please fill it in and email it to the student's sponsors. EPSRC no longer requires copies of the scholar information sheets.

Student/Researcher Details on Je-S

Information collected: Personal and contact details of student (including nationality and gender), information about their previous degrees and current PhD course, start and end dates and sponsors.

Who inputs the data?: The DHPA contact at the University (the information may be obtained from the student's supervisor or from the student)

When does the data need to be input?: A month after the student starts their PhD

What is the data used for?: The information will be used for statistical and monitoring purposes, for example to see the distribution of different nationalities. The data is output in an Excel spreadsheet, which means it is easy to analyse and tabulate. The email addresses provided will mean that the students can be easily contacted. The information provided here has some overlap with scholar information sheets, but more detailed information is provided here, for example the student's HUSID and NUMHUS numbers, start and end dates, the class of the student's first degree, the stipend the student receives, and the sponsor contact addresses.

Alumni Form

Information collected: the student's forward contact details and next destination.

Who inputs the data?: The DHPA student

When does the data need to be input?: As soon as they finish their PhD

What is the data used for?: Alumni will be emailed details of the DHPA Alumni Scheme as it is developed. More data may be requested from the alumni at a later stage once the alumni scheme has taken shape.

Final Reports

Final Report forms and narrative reports on the outcomes of DHPA grants are not required. Final Expenditure Statements (FES) on DHPA grants will be sent to Research Organisations towards the grant end, and must be populated with student details and expenditure against the cost headings, and returned via Je-S before the end of December (ie within 3 months of the grant end).
